OrbIT for Legal

Turn client calls into reviewed, billable time entries.

Connect your phone system to legal practice management so client calls are captured, matched to matters and prepared as suggested time entries for review.

Client calls are work. Too often, they never become time entries.

Attorneys and staff take calls between meetings, filings and court dates. Logging each one against the right matter competes with everything else — so short calls get rounded away, entries get reconstructed days later, and the client history is incomplete.

The information needed for an accurate entry already exists: the phone system knows who called and for how long. It is simply disconnected from the practice management system where billing happens.

How it works, step by step.

  1. 01

    A client calls the firm

The call is handled exactly as it is today.

  2. 02

The phone system records call metadata

    Caller number, participants, direction, timestamps.

  3. 03

OrbIT proposes a client or matter association

Matched against contacts and matters in the practice management system.

  4. 04

    Call duration is captured

Taken from the phone system's own records.

  5. 05

    AI assists with a summary

Only where authorized transcripts are available and consent requirements are met.

  6. 06

A suggested time entry is prepared

Duration, matter and a draft narrative, ready for review.

  7. 07

    Supporting call metadata is attached

So the reviewer sees exactly what the suggestion is based on.

  8. 08

A staff member reviews and approves

Edit, approve or dismiss. Nothing is billed automatically.

  9. 09

The approved entry syncs to practice management

Through the platform's supported API and permissions.

  10. 10

Billing continues in your existing software

Your invoicing process does not change.

Business benefits

Less manual time entry
Staff review drafted entries instead of reconstructing calls from memory.
More accurate billing records
Entries reflect actual call duration and are associated with the matter at the time of the call.
Better documentation
Each entry carries its supporting metadata and, where authorized, a summary.
Complete client interaction history
Calls appear alongside the rest of the matter record.
Lower administrative overhead
Fewer end-of-week catch-up sessions for attorneys and billing staff.
Operational visibility
See call activity across the firm without adding another system to check.

Safeguards

  • Not every call is billable. OrbIT suggests entries; people decide.
  • Every suggested entry requires review before it is synchronized.
  • Recording and transcription are used only where consent, confidentiality and retention obligations are met.
  • Call recordings and AI summaries are supporting documentation, not proof of billability.

Questions

Does OrbIT bill clients automatically?

No. OrbIT prepares suggested time entries. A member of your team reviews, edits, approves or dismisses each one before anything is synchronized to your practice management system.

Which practice management systems are supported?

CARET is the first legal platform OrbIT is designed around. Other platforms depend on their available APIs and permissions; we confirm feasibility for your firm before any commitment.

Are calls recorded or transcribed?

Only if your firm enables it and applicable consent, confidentiality and retention requirements are met. Time-entry suggestions can be produced from call metadata alone.

We walk through a live workflow and review which of your phone, CRM and business platforms OrbIT can connect.
